What is different between the old and new voicemail systems?

  • If a department has phone lines configured to forward or rollover to other phone lines, the caller will go to the voicemail account of the last phone line they reach. It will not go back to the voicemail account of the original number dialed like the old voicemail system did. If departments need to request a new voicemail account for the last number in a rollover scenario, go to doitservices.missouri.edu. Login to the self-service portal with your University user id and password, select Service Catalog, and search for Voicemail.
  • All mailboxes now include the voicemail-to-email feature at no additional cost.
  • The voicemail web portal is now at doit.voicemail.centurylink.net. Log in using your 10-digit phone number and PIN/numeric passcode.
  • “Follow Me” and call notification alerts are no longer a function of the voicemail system, but these features are available with the new Voice over IP service.
  • The ability to receive faxes in your voicemail account is no longer available, but the Division of IT offers a Central Fax service that gives departments the ability to send and receive faxes electronically.
  • There is no way to set out-of-office rules that automatically change your voicemail greeting on a schedule, but we have asked our service provider to consider that functionality as a feature enhancement.

Do all University phone lines have voicemail?

No, voicemail is offered as an optional subscription service. Go to doitservices.missouri.edu to request Voicemail. Login to the self-service portal with your University user id and password, select Service Catalog, and search for Voicemail.

How do I access my voicemail?

How long will the system retain my voicemail messages?

Messages in your voicemail box are stored for 10 days from the date received, even if they were saved or have not been played. Standard voicemail boxes can store 16 MB, so you may need to delete messages manually to avoid running out of space. You can delete messages from the voicemail web portal or from your telephone.

Messages sent to your email account are retained according to the same 10 day schedule as messages in your voicemail box.  If you want to keep a message longer, you must save the email, or WAV file, before it is automatically deleted by the 10 day message aging policy.

My Message Waiting Indicator (MWI) isn’t illuminating when I have messages. What do I do?

Polycom-brand telephones:

  1. Go to the voicemail web portal.
  2. Click the Settings tab at the top.
  3. Click the Messaging tab. Click MWI.
  4. Ensure the box beside Send phone notification of incoming messages to the following phone numbers is checked. You should see This service is currently ACTIVE.
  5. If your 10-digit phone number is not in the list, click New Entry.
  6. Enter your 10-digit phone number.
  7. Click Add.
  8. Click Apply.

If this setting is active, but your MWI is not illuminated when there’s a pending message, call Tech Support at 573.882.5000.

Non-Polycom telephones:

If your telephone has a light or produces audible tone for message waiting indication and it is not coming on when you have a message, call Tech Support at 573.882.5000.

Why is my Message Waiting Indicator “stuck” on, but I have no messages?

You have no messages, but the light or audible tone is on, call Tech Support at 573.882.5000.

How can I transfer a caller directly into a person’s voicemail without ringing his phone?

  1. Press Transfer.
  2. Dial 882.9494.
  3. When you hear your login prompt, press *.
  4. Dial the 10-digit number followed by # # (2 pounds).
  5. Press Transfer.

How can I skip the greeting when I leave a message for another University voicemail subscriber?

Upon hearing the beginning of the greeting, press # to skip to the tone to leave a message.

How do I give my callers the option to “Press 0 for immediate assistance” when I am not available?

  1. Go to the voicemail web portal.
  2. Click the Settings tab at the top.
  3. Click Messaging tab below. Click Mailbox.
  4. Under Caller Transfer and Numeric Pages, enter the 10-digit phone number that you want your callers to reach when they press 0.
  5. When recording your greeting, instruct callers to “Press 0”.

How do I set my voicemail box so that callers cannot leave a message while I am on vacation?

For first-time use, record your extended absence greeting and set options using your phone:

  1. Dial 882.9494 to access Main Menu.
  2. Follow the prompts to Work with Extended Absence Greetings.
  3. Follow the prompts to Disable/Enable Callers to Leave Messages.

For subsequent usage, manage your greeting via the web portal:

  1. Go to the voicemail web portal.
  2. Click the Settings tab at the top.
  3. Click Messaging tab below.
  4. Click Greetings.
  5. Under Select the Default Greeting, use the dropdown menus to choose the appropriate greeting.
  6. Check/uncheck Allow callers to leave a message, according to your preference.

My callers hear the message “Sorry the mailbox is full and there is not enough space to leave a message. Thank you for using the voice messaging server” when trying to leave me a message.

Standard mailboxes can hold up to 16MB of storage, or approximately 50 messages at 30 seconds each. Delete messages manually to avoid reaching the storage limit. Use your phone to delete messages or use the voicemail web portal.

  1. Go to the voicemail web portal.
  2. Click the Messages tab at the top.
  3. Check any messages you want to delete.
  4. Click Delete.

How can I play voicemail messages from my e-mail?

Voice messages can be delivered to your email inbox as a .wav audio file. Your computer or mobile device must have speakers (or headset) and an audio player, such as Windows Media Player, Quick Time, or iTunes to play messages. Windows, Mac, and Linux computers all have software available for download. Check with your departmental IT Pro if you have difficulty playing voicemail messages from your computer.

What should I do if some of the voicemail messages I receive are so quiet that I can’t hear them?

Try adjusting the volume on your telephone or computer and media player. Some messages are hard to hear because the caller has spoken quietly or because there was interference in the connection. If you experience continual problems with the volume or quality of messages, please call Tech Support at 573.882.5000.
